Manage Gift Cards

Modified on Wed, Mar 11 at 10:37 AM

FEARTICKET's Gift Card feature allows event organizers to create, sell, and manage gift cards that ticket buyers can redeem for tickets at your events. Gift cards can be scoped to specific events or applied across all events, giving you full flexibility over how they are distributed and redeemed.

Frequently Asked Questions

General

Q: Where do I find the Gift Card management section?

A: From your FEARTICKET dashboard, navigate to Store > Gift Cards > Manage Gift Card. This will open the Manage Gift Card page where you can view, search, and create gift cards.

Q: What information is shown on the Manage Gift Card page?

A: The page displays a table with the following columns for each gift card:

  • Gift Card Name - The label you assigned to the gift card.
  • Events (Selling Gift Card) - The event(s) where this gift card can be purchased.
  • Events (Redeeming Gift Card) - The event(s) where this gift card can be used toward a ticket purchase.
  • Total Qty - The total number of gift cards available (can be set to Unlimited).
  • Sold Qty - How many gift cards have been sold so far.
  • Price - The face value / sale price of the gift card.
  • Valid From / Valid To - The date range during which the gift card is valid for redemption.
  • Status - Whether the gift card is currently Active or Inactive.
  • Action - Quick action icons to edit, duplicate, or delete a gift card.

Q: What is the difference between "Events (Selling Gift Card)" and "Events (Redeeming Gift Card)"?

A:

  • Selling refers to the event storefront where the gift card appears for purchase. You can select specific events or set it to All Events.
  • Redeeming refers to the event(s) where the gift card can be applied during checkout. This can also be set to All Events or restricted to specific events.

For example, you may sell a gift card on Event A but allow it to be redeemed at Events A, B, and C.

Q: Can I set a gift card to work across all my events?

A: Yes. When creating or editing a gift card, you can select All Events for both the selling and redeeming fields. This makes the gift card universally applicable across your entire event catalog.

Creating a Gift Card

Q: How do I create a new gift card?

A: On the Manage Gift Card page, click the + Create Gift Card button in the top-right corner. The gift card creation form is divided into four sections. Fill in the details as described below and click Save when done.

Section 1 - Gift Card Detail

This section captures the core information about the gift card.

  • Events (Selling Gift Card) (required) - Select the event(s) on which this gift card will be available for purchase.
  • Events (Redeeming Gift Card) (required) - Select the event(s) where buyers can redeem this gift card during checkout.
  • Name (required) - Enter a clear, descriptive name for the gift card (e.g., Halloween Night Gift Card).
  • Card Amount (required) - Enter the monetary value of the gift card.
  • Description (optional) - Add any additional details or terms that buyers should know about this gift card.
  • Status - Toggle between Inactive and Active. Set to Active to make the gift card live and available for purchase immediately.

Section 2 - Gift Card Image

  • Upload a custom image for the gift card. The recommended image size is 1024px (W) x 768px (H). This image is displayed to buyers when they view or purchase the gift card.

Section 3 - Gift Card Condition

This section controls availability and validity.

  • Quantity - Enter the maximum number of times this gift card can be sold. Leave blank or set to Unlimited if there is no cap.
  • Validity - Select a date range to define the period during which the gift card can be redeemed. Leave blank if the gift card has no expiry.

Section 4 - Gift Card Applicability

This section determines how the gift card code is delivered.

  • Email Specific - The gift card code is sent directly to the recipient's email address. Use this option when the gift card is meant to be gifted to someone else.
  • General - The gift card code is sent to the buyer. Use this option for general-purpose gift cards where the buyer holds and uses the code themselves.

Q: Can I set an unlimited quantity for a gift card?

A: Yes. When configuring the gift card, you can set the Total Qty to Unlimited, meaning there is no cap on how many can be sold.

Q: Can I set an expiry date for a gift card?

A: Yes. Use the Valid From and Valid To fields to define the window during which the gift card is active and redeemable. If left blank, the gift card has no expiry.

Managing Gift Cards

Q: How do I search for a specific gift card?

A: Use the search filters at the top of the Manage Gift Card page:

  • Gift Card Name - Type the name to filter by name.
  • Events (Selling Gift Card) - Filter by the selling event.
  • Events (Redeeming Gift Card) - Filter by the redeeming event.
  • Gift Card Status - Filter by Any Status, Active, or Inactive.

Click Search to apply filters or Reset to clear them.

Q: How do I edit an existing gift card?

A: In the Action column of the gift card table, click the edit icon next to the gift card you want to modify. Update the details and save.

Q: How do I duplicate a gift card?

A: Click the duplicate icon (copy icon) in the Action column. This creates a copy of the gift card with the same settings, which you can then modify as needed.

Q: How do I delete a gift card?

A: Click the delete icon in the Action column. Note that deleting a gift card is permanent. Exercise caution, especially if cards have already been sold.

Active vs. Inactive Gift Cards

Q: What does Active vs. Inactive mean for a gift card?

A:

  • Active - The gift card is live, visible, and can be purchased and/or redeemed by ticket buyers.
  • Inactive - The gift card is disabled. It will not appear to buyers and cannot be redeemed, even if it was previously sold.

Inactive gift cards are listed in a separate Inactive Gift Cards section at the bottom of the Manage Gift Card page.

Q: Can I reactivate an inactive gift card?

A: Yes. Click the edit icon on the inactive gift card and change its status back to Active, then save.

Reporting

Q: Where can I view orders placed using gift cards?

A: Navigate to Store > Products > Gift Cards > Gift Card Orders to see a full list of gift card purchases.

Q: Is there a report for gift card redemptions?

A: Yes. Go to Store > Products > Gift Cards > Redemption Report for a detailed view of how and where gift cards have been redeemed.

Best Practices

  • Name your gift cards clearly (e.g., Holiday Gift Card 2025, VIP Bundle Card) so buyers and your team can identify them easily.
  • Set validity dates for seasonal promotions to ensure gift cards cannot be redeemed outside your event window.
  • Use event-specific redemption if you want to limit gift card usage to high-demand or premium events only.
  • Monitor Sold Qty regularly to gauge demand and decide whether to increase your total quantity limit.
  • Deactivate instead of deleting gift cards that have already been sold but you no longer want to promote, as deleting them may cause issues for buyers who still hold them.
